Codaeu ("the App") is a private business application licensed to a single organisation for its own internal administration. It is not offered to the public and there is no public sign-up. Access is limited to authorised personnel of that organisation.

Information we collect

  • Names, roles, and employment details of authorised personnel.
  • Contact numbers, used to send operational notifications and receive replies.
  • Records and files that personnel create or upload in the course of their work.
  • Messages exchanged with the App through the messaging platform described below.

How we use information

  • Providing the App to the licensed organisation and its authorised personnel.
  • Sending operational notifications and recording the replies to them.
  • Maintaining the organisation's internal business and personnel records.
  • Keeping an audit trail of actions taken in the App.

We do not sell personal information, disclose it to advertisers, or use it for advertising or profiling.

Messaging

The App sends and receives messages through the WhatsApp Business Platform, operated by Meta. Message content is used only to deliver operational notifications and record the replies to them. Delivery of those messages is handled by Meta under its own terms and privacy policy.

Reading documents

When personnel upload an image or document, the App may send it to a third-party artificial intelligence service provider so that text, such as a reference number, can be read from it. The file is used only for that purpose, the result is shown to the person to confirm or correct, and the provider handles the file under its own terms and privacy policy.

Where information is held

Information is held in a managed database and file store operated by our infrastructure providers on the organisation's behalf. Those providers process it only to run the service and are not permitted to use it for their own purposes.

Retention and security

Information is retained for as long as the organisation needs it for business and statutory record-keeping. Access requires an account, is limited to authorised personnel, and is scoped to what a person's role requires.

Your rights

If the App holds personal data about you, you may ask to access it, ask for it to be corrected, or ask how it is being handled. Speak to your organisation's system administrator, or contact us at the address below.
